What is failed payment recovery?
Failed payment recovery — sometimes called dunning — is the process of collecting a membership payment after it fails. A card expires, an account is short, a bank declines. Recovery is everything that happens next, and how well it works decides whether that member stays a member.
Why payments fail

Cards are the problem. Roughly a third of card failures need the member to do something, and every step where a member has to act is a step where they don’t.
Direct debit fails less and recovers better, because the reasons it fails are mostly temporary.
Failed payment vs cancellation
They look identical on a revenue report and they’re completely different events.
A cancellation is a decision. The member chose to leave.
A failed payment is an accident. They still want to be a member. They just aren’t paying, and often don’t know.
Treating the second like the first — cutting access, sending a stern notice — converts an accident into a decision. That’s the mistake worth avoiding.
Why it matters for your gym
Failed payments are silent churn. The member doesn’t announce anything. The payment stops, the gym doesn’t notice for a few weeks, and by the time someone looks they’re two months behind and embarrassed enough to just not come back.
At 300 members, even a 2% monthly failure rate is six members a month. Recover four and you’ve saved more revenue than most retention campaigns produce.
The recovery message matters more than the process. “Your payment didn’t go through, here’s a link” keeps a member. “Your account is in arrears” loses one.

- How many times should I retry?
- Two or three, spaced across a fortnight so one lands after payday. Daily retries annoy banks and members.
- Should access be cut off automatically?
- Not on a first failure. Most are accidents, and cutting access turns one into a cancellation.
