Gym CRM
What is a gym CRM?
A gym CRM manages prospects — people who’ve enquired, taken a trial, or walked past and left an email. It tracks where each one is in the process of deciding, whose job it is to follow up, and what’s been said. It ends where membership begins.
CRM vs member management
The clearest way to see the difference is the moment they hand over.
| Gym CRM | Member management | |
|---|---|---|
| Who it tracks | People who aren’t members yet | People who are |
| The question | Will they join? | Will they stay? |
| Typical actions | Follow up, book a tour, chase a trial | Bill, book, coach, engage |
| Success | A conversion | A renewal |
Some platforms sell them together, some separately, and some sell the CRM as a premium tier.
Which one you actually need
Depends entirely on where your business leaks.
If enquiries come in and nothing happens to them, you have an acquisition problem and a CRM is the answer. Leads going cold because nobody followed up on Tuesday is a solvable, expensive problem.
If people join and quietly stop coming, you have a retention problem, and a CRM won’t touch it. That work happens after someone becomes a member.
Most gyms assume the first and have the second. Retention is generally cheaper to fix than acquisition, and it compounds — a member who stays is worth more than one you had to buy.
Where PATO sits
We don’t have a CRM. It’s on our roadmap and not built, and we’d rather say that than blur the definitions.
We do the second job. Once someone is a member, PATO watches whether they’re drifting, reaches out automatically, and gives them a reason to come back.
If lead management is your bottleneck, a platform with a real CRM will serve you better right now. That’s a straight answer, and it’s on our comparison pages too.
Common questions
- Can I use a general CRM alongside PATO?
- Yes — plenty of gyms run a separate tool for leads.
- Do you track trials?
- Yes. Trial members and their expiry are managed inside PATO — that’s the handover point, not lead management.
- When will you have one?
- On the roadmap, no date. We won’t invent one.
